Manage greetings and audio in the media library

Upload, generate, and maintain the audio files that voicemail, call menus, and compliance disclosures play to callers.

The media library holds the audio your phone system plays to callers. Store a file once, then select it wherever an audio setting offers a picker — a voicemail greeting, a call menu prompt, a recording or AI disclosure, or hold music. Every item belongs to one phone system, so confirm the intended system is active before you upload.

What the library holds

Each item has a type that describes where it is meant to play:

The type is a label that keeps the library organized and filters the pickers; it does not attach the audio to a setting by itself. You connect an item to a voicemail box, call menu, or compliance setting from that feature’s own page.

Steer Phones also curates a set of shared audio items that are available to every phone system. Shared items appear where you pick audio for a setting, but they are not listed in your library page and only Steer Phones can change them.

Prerequisites

  • An administrator role for the phone system. Any signed-in user can browse and preview the library, but uploading, renaming, and deleting items are administrator actions.
  • Audio files in MP3, WAV, GSM, or u-law format, up to 25 MB each.

Upload an audio file

  1. Open Media Library and confirm the phone-system name in the header.
  2. Select Upload.
  3. Enter a title (up to 200 characters). Choose a name you will recognize in a picker later, such as Holiday Greeting 2026.
  4. Choose the type that matches where the audio will play.
  5. Choose the audio file and select Upload. Files that are not MP3, WAV, GSM, or u-law, or that exceed 25 MB, are rejected.

Create an audio file from text

If your role can change phone-system settings, the library can generate phone-ready audio from text instead of requiring a recording.

  1. Select Create Audio File.
  2. Enter the text to speak, up to 2,000 characters.
  3. Choose a voice, and adjust the playback speed (0.5–1.5) and trailing silence (up to 10 seconds) if needed. Trailing silence gives callers a beat before a menu starts listening for input.
  4. Add a pronunciation override when the voice misreads a word — each override pairs the written word with the way it should be spoken.
  5. Generate the audio and listen to the preview.
  6. When it sounds right, enter a title, choose a type, and save it to the library.

Rename or delete an item

  1. Use the type filter to find the item, or press play to confirm it is the right audio.
  2. Select Rename to change the title. Renaming does not affect where the item is used.
  3. Select Delete to remove it. If the item is currently referenced by a voicemail, call menu, or compliance setting, deletion is blocked and the error names the setting that still uses it. Point that setting at different audio first, then delete the item.

Expected result

The library lists your phone system’s audio items with a title, type, and size, each item plays in the preview, and the settings that reference library items keep playing the audio you chose.

Troubleshooting

  • The page asks you to select a phone system: Choose the intended system from the header selector; the library always shows one system’s items.
  • An upload is rejected: Check the format and size. Only MP3, WAV, GSM, and u-law audio up to 25 MB is accepted, and a title is required.
  • Delete is blocked: The item is in use. The error message names the setting that references it — change that setting’s audio first, then retry the deletion.
  • You cannot rename or delete a specific item offered in a picker: Items marked as shared are curated by Steer Phones for all phone systems and cannot be changed from the dashboard.
