Set up booking services
Curate the services your Call Assistants may book and assign them to the assistants that should offer them.
A Call Assistant can only book work it knows about. Booking Services is the short, curated list of AutoOps services your assistants may offer, in the words you want them spoken — and the place you decide which assistant offers which service.
Prerequisites
- Your AutoOps booking connection is configured for this phone system. The page states which key is in use above the buttons; if it says the integration is not configured, contact support.
- At least one Call Assistant exists. Without one there is nobody to assign a service to, and the page says so.
- The assistants that should book work have a scheduling tool enabled — see Enable Call Assistant tools.
Add a service
- Open Call Assistants > Booking Services.
- Select Load Services from AutoOps. The page fetches your current service catalog and shows
everything not already curated as
+ Service namebuttons, with a count of what remains. - Select the service you want to add.
- In the dialog, set:
- Display Name — what your assistants call this service, up to 200 characters. Start from the AutoOps name and simplify it if callers would not recognize it.
- Description — optional context, up to 2,000 characters, that helps the assistant understand when this service applies.
- Call Assistants — open the picker and select at least one. A service with no assistant cannot be saved.
- Select Add Service.
Drop-off, pickup, and waiter eligibility and the estimated duration are shown as read-only badges. They come from AutoOps and are captured when you add the service.
Edit or remove a service
- Select the pencil icon on a row to change its Display Name, Description, or assistant assignments. Eligibility and estimated duration are not editable here — change them in AutoOps and re-add the service if they need to move.
- Select the trash icon to remove the service from your curated list. Your assistants stop offering it; nothing changes in AutoOps.
What the assistant does with it
An assistant that has services assigned is told each service’s display name, description, drop-off, pickup and waiter options, and estimated time before it starts talking. That list is what it draws on when a caller asks what you can do and when it checks availability or books an appointment. Services assigned to a different assistant are invisible to this one.
Keep the list short and unambiguous. Two services with near-identical names give the assistant no basis for choosing between them.
Expected result
The page lists your curated services with their display name, duration badge, eligibility badges, and the assistants that may book each one. Assistants with a scheduling tool no longer show the “No AutoOps services are linked” warning, and a test call can ask for one of your services by name and be offered real appointment times.
Troubleshooting
- “AutoOps integration is not configured”: booking is not connected for this phone system. Contact support to enable it. Services you already curated stay editable.
- “Could not check AutoOps status”: the check itself failed. Refresh the page and try again.
- “AutoOps key couldn’t be read — ask an administrator to re-enter it”: the stored credential cannot be used. It cannot be re-entered from this dashboard; ask an administrator.
- Load Services is disabled: there is no usable booking connection, so there is nothing to load.
- A service you expect is missing after loading: it is already in your curated list below, or it is not published in AutoOps.
- Add Service stays disabled: the display name is empty or too long, the description is too long, or no Call Assistant is selected.
- Adding a service fails with a conflict: it was curated somewhere else in the meantime. The entry disappears from the available list; refresh to see it in your curated list.
- “Showing first N of M Call Assistants”: you have more assistants than the picker loads, so some do not appear in the assistant list. Contact support if the assistant you need is one of them.
- The assistant never offers a service: confirm the service is assigned to that assistant and that the assistant enables a scheduling tool.
